2. Opening an account
- You must be 18 or older to open an account.
- SayIDo is for planning your own wedding or the wedding of a family member or friend. It is not for businesses, such as wedding planners or venues, running weddings for clients, unless we agree to that in writing.
- Each of you may have your own sign-in to the same wedding. Each account holder accepts these terms. Whatever one of you does in the wedding binds both of you as far as we are concerned.
- Your mobile number is confirmed by a WhatsApp code before we use it for sign-in or alerts, and one number belongs to one account.
- Keep your sign-in to yourself. Tell us straight away at privacy@ralphjacobs.org if you think someone else has used it.
- You accept these terms when you tick the box at sign-up, and again at checkout if you buy something. We record which version you accepted and when. The version that applies to you is the one you last accepted; every version we have published is at ralphjacobs.org/versions/.
3. Plans and prices
3.1 The plans
| Plan | What you pay | Main limits |
|---|---|---|
| Free | Nothing. No card needed | A wedding website with RSVPs for up to 50 guests |
| Essential | A once-off price | The guest limit, messages, e-mails and storage shown on the pricing page when you buy |
| Premium | A once-off price | As Essential, with higher limits and your own domain for one year (section 6) |
| Complimentary | Nothing. A gift for Ralph Jacobs ring customers (section 4) | As shown on the pricing page when you activate it |
The current prices and limits are on sayido.ralphjacobs.co.za/pricing. The price you pay is the one shown at checkout. All prices are in rand and include VAT at 15%.
3.2 Once-off, not a subscription
A plan is paid once, for one wedding. It does not renew, and we never charge you again without you choosing to buy something. Moving from Free to a paid plan keeps everything you have set up.
3.3 Optional extras
Extra WhatsApp messages, extra e-mails and your own domain are optional. Each is priced on the pricing page before you buy it.
- Message credits stay on your wedding for three years from the date you buy them. They are not exchanged for cash, except as section 7 allows.
- A WhatsApp message that fails to reach a guest because of a fault on our side or Meta’s is refunded to you as a credit.
- The price of WhatsApp messages follows what Meta charges us. If Meta changes its price, we may change the price of new packs. Packs you have already bought are not affected.
3.4 Payment and invoices
You pay by card or instant EFT through Stitch, our South African payment provider. We issue a tax invoice when your payment is confirmed, in the name and with the VAT number you give us, and keep it in your dashboard. Payment details are handled by Stitch; we do not see or store your card number.
4. The SayIDo gift for Ralph Jacobs ring customers
When you buy an engagement ring or wedding band from Ralph Jacobs, you may receive a SayIDo gift. These conditions apply to it:
- What it is. The Complimentary plan, as shown on the pricing page when you activate it. Optional extras, such as your own domain or more WhatsApp messages, are paid for separately.
- How you get it. With the private activation code or link we send you after your purchase. One gift per ring purchase, for one wedding.
- When to activate it. Within 24 months of the date of your ring purchase.
- If the ring order is cancelled, returned or refunded, the gift ends. We will tell you by e-mail and give you 30 days to buy a paid plan or download your information. After that, your wedding moves to the Free plan; nothing you have set up is deleted by the move, but features beyond the Free plan stop working.
- It has no cash value. It cannot be exchanged for money, a discount on jewellery or another product.
- You may pass the code on to the person you bought the ring for, or your partner. Do not sell it.
- The gift does not change your jewellery purchase. Your ring is governed by the Terms and Conditions and the other policies on this hub, as they stood when you ordered.
5. Messages to your guests
- SayIDo sends invitations, reminders and updates on your behalf, by e-mail and WhatsApp, in your names. Each message says that it comes from you through SayIDo.
- Send WhatsApp messages only to guests who have agreed to receive them from you. When you add a guest’s WhatsApp number, you record that they gave permission, and how. We keep that record. Meta’s rules require it, and so does the law.
- A guest can reply STOP to any WhatsApp message. After that we send them only essential messages about your wedding, by e-mail, and we do not let you resume WhatsApp to that number unless the guest asks for it again.
- Use the messages for your wedding only. Do not use SayIDo to advertise, sell, fundraise or send anything unrelated to your wedding.
- We cannot promise delivery. E-mail and WhatsApp depend on other providers and on your guests’ phones and inboxes. Delivered and read receipts are shown as the providers report them.
- Meta may refuse or pause a message that breaks its rules. We may do the same if a message breaks section 9.
6. Your own domain
With Premium, or as an extra, we register a domain for your wedding website.
- The domain is registered in your name, as the registrant, through our registrar, Domains.co.za. Your name, address, e-mail and mobile number are given to the registrar and the registry for this. You are bound by the registry’s rules for that domain (for .co.za, the ZA Central Registry’s).
- It is registered for one year and does not renew automatically. We will remind you by e-mail at least 30 days and again 7 days before it expires. If you want to keep it, you renew it yourself, through us or by moving it to a registrar of your choice. We will help you move it.
- Once a domain is registered, its cost cannot be refunded (section 7), because the registration cannot be undone.
- When it expires, your wedding website stays available at its *yournames*.wed.ralphjacobs.co.za address.
- Choose a name you are entitled to use. Do not register a domain that uses someone else’s trade mark or business name.
7. Cancelling and refunds
7.1 Seven-day cooling-off
You may cancel a paid plan or an extra within seven days of buying it, by asking from Help & support in your dashboard or at privacy@ralphjacobs.org. This is your right under section 44 of the Electronic Communications and Transactions Act.
We start your plan as soon as you pay, at your request. The Act says the cooling-off right does not apply to a service that has begun, with your consent, before the seven days end. We give you a refund anyway, less only the parts you have used:
| If you cancel within 7 days | We refund |
|---|---|
| Nothing used beyond the Free plan | The full price |
| Messages already sent from your allowance or a pack | The full price, less the pack price of the WhatsApp messages and e-mails sent |
| Your own domain already registered | The full price, less the domain’s price on the pricing page |
We refund within 30 days, to the card or account you paid from. Your wedding then moves to the Free plan; nothing is deleted by the move.
7.2 After seven days
After seven days, plans and extras are not refundable because you changed your mind, but you keep everything you paid for, for the life of your wedding.
If SayIDo does not work as it should, your rights under the Consumer Protection Act still apply: if we cannot put a fault right within a reasonable time, we will refund you in proportion to what you could not use (section 54 of the Act). Tell us through Help & support.
7.3 If we end the service
If we ever stop offering SayIDo, we will give you at least 90 days’ notice, a way to download your website content, guest list and photos, and a refund in proportion to the time left until your wedding date (or until your website would have been archived, if the wedding has passed).
7.4 Gift plans
The Complimentary plan cost you nothing, so there is nothing to refund. Section 4.4 explains what happens if your ring order is cancelled.
8. Your guests' information
8.1 Who is responsible for what
- You decide whom to invite and what to ask them. When you add guests, import a list, ask questions on your RSVP form, or plan seating and rooms, you are deciding why and how your guests’ information is used, and we process it on your behalf and on your instructions.
- We are responsible for the SayIDo platform itself and how securely it holds that information; for sending your messages and keeping guests’ permission and opt-out records; for our own records about you; and for Ralph Jacobs’ marketing to people who ask for it themselves (section 8.5).
- Planning your own wedding is usually a personal or household activity. Even so, we apply the Protection of Personal Information Act (POPIA) to everything on SayIDo as if it applied in full, and your guests can come to us directly. The terms in the Schedule set out what we promise you about guest information.
8.2 What you promise us
- You are allowed to share the contact details you add. Usually that means the guests gave them to you, or you know them because they are family or friends.
- You will not add information your guests would not expect a wedding host to hold. Do not add identity numbers, medical details, bank details or anything sensitive about a guest. Dietary needs and allergies come from the guests themselves, through their RSVP (section 8.3).
- Children. You may add a child’s name and age group so that their parent can answer for them. Do not add anything else about a child.
- WhatsApp permission. You record a guest’s WhatsApp permission only if they gave it (section 5).
- Photos of other people. You will not publish photos of guests on your website against their wishes, and you will take a photo down if a guest asks you to.
8.3 Dietary needs and allergies
Some dietary needs, such as Halal or Kosher, can reveal a person’s religion, and allergies are health information. The law treats these as special personal information. So:
- only the guest (or a parent, for a child) can give them, on their own RSVP link, after agreeing to the wording shown there;
- only you see them, on your guest list and catering lists; and
- share catering lists only with your caterer or venue, and only for the wedding.
8.4 Requests from your guests
If a guest asks you for a copy of their information, or to correct or delete it, you can do it from your guest list. If a guest asks us, we will deal with it under the Guest Privacy Notice and tell you what we did.
8.5 Ralph Jacobs marketing to guests
We never use your guest list to market to your guests. A guest hears from Ralph Jacobs only if they tick the separate, unticked box on their RSVP page or one of our forms. That makes them our contact, not yours, and their consent stays with them if your wedding is deleted.
Your wedding website may show a small panel from Ralph Jacobs, clearly labelled as ours. It uses none of your guests’ information and sets no tracking cookies. It never appears in the messages SayIDo sends to your guests.
8.6 Support access
If you ask us for help, our support team may need to open your dashboard. They can do so only if you have switched on support access in Wedding settings, and you can switch it off at any time. Support staff cannot change your personal details or make payments. Every time they open your dashboard is logged.
9. Acceptable use
Do not use SayIDo to:
- publish anything unlawful, defamatory, hateful, sexually explicit or that infringes someone else’s rights, including their copyright or privacy;
- harass anyone, or send messages to people who have asked you to stop;
- send spam, advertising or anything unrelated to your wedding;
- collect money for anything other than your wedding (a gift registry, honeymoon fund or guest accommodation you arrange is fine);
- break, probe or overload the platform, get around its limits, or reach information that is not yours; or
- pretend to be someone else, or to be Ralph Jacobs.
If you do, we may remove the content, pause messages, or suspend your wedding. We will tell you why, and give you a chance to put it right first unless the matter is serious or the law requires us to act straight away. We do not refund a plan suspended for a serious breach.
10. Your content, and ours
- What you put on SayIDo stays yours: your words, photos, designs you make and your guest list. You give us permission to store, copy and display it only to run SayIDo for you, and to keep the backups and records the law requires.
- Photos and videos your guests upload stay theirs. By uploading, a guest allows you and us to store them in your album and show them to the people you choose. You decide what is shared.
- We never show your wedding, your photos or your guests in our marketing without your written permission.
- The SayIDo platform, its designs, templates and software belong to Ralph Jacobs SA (Pty) Ltd. You may use them for your wedding website while your wedding is on SayIDo. RALPH JACOBS and the RJ monogram are trade marks of Rikus Kotzé, used by Ralph Jacobs SA (Pty) Ltd under licence; do not use them for anything else. SayIDo is the name of our service, not a trade mark.
- Takedowns. If you believe something on a SayIDo website infringes your rights, write to legal@ralphjacobs.org with the address of the page and what you object to.
11. The writing helper and website assistant
SayIDo includes an AI writing helper and a website assistant, run by Anthropic, a company in the United States.
- What you type into them, and the website content they are asked about, is sent to Anthropic to produce an answer. Anthropic may not use it to train its models.
- Do not type your guests’ personal information into them, and nothing sensitive about yourself.
- Read what they write before you publish it. They can be wrong. What you publish on your website is your choice and your responsibility.
12. After the wedding
| What | What happens |
|---|---|
| Your wedding website | Stays online for 12 months after your wedding date. Then it is archived: guests no longer see it, but you can still sign in, download everything and restore it |
| Archived weddings | Deleted 24 months after your wedding date (12 months after archiving), unless you restore it before then |
| Guest photo uploads | Guests can upload for 6 months after your wedding date |
| Photos and videos | Deleted 12 months after your wedding date. Download your originals before then |
| Guests you remove | Erased 30 days after you remove them |
We e-mail you at least 30 days and again 14 days before your website is archived, before photos are deleted and before an archived wedding is deleted.
If you delete your wedding, it goes offline straight away. Its guest list, photos and content are deleted after 14 days, so you can change your mind. If you have no other wedding on SayIDo, your account is then anonymised.
What we keep after deletion: tax invoices, payment and order records and domain records, for seven years, because company and tax law require it; and records of consent and opt-outs, so that we can prove we respected them.
You can download your data at any time from My profile → Download my data, and your guest list and photos from their own pages.
13. Our service and our responsibility
- We provide SayIDo with reasonable care and skill, and keep it available as much as we reasonably can. We may need to pause it for maintenance, which we try to do at quiet times and announce in your dashboard where we can.
- We may improve or change features. We will not take away a main feature of a plan you have paid for before your wedding without giving you the choice of a proportionate refund.
- We are not responsible for what you or your guests publish, for your suppliers, venue or caterer, or for messages that fail because of a guest’s phone, inbox or a third party’s service.
- Our total responsibility to you for anything to do with SayIDo is limited to the greater of what you paid us for SayIDo and R 500. This limit does not apply to loss caused by our gross negligence or fraud, or to any right the Consumer Protection Act does not allow us to limit.
14. Changes to these terms
We may update these terms. We will tell you by e-mail at least 30 days before a change that affects you materially, and you may then close your account and, if the change takes away something you paid for, receive a proportionate refund. Otherwise the new terms apply from the date they are published.
15. Complaints
Tell us first, through Help & support or at complaints@ralphjacobs.org. Our Complaints and CGSO page explains how we deal with complaints and how to escalate one, free of charge, to the Consumer Goods and Services Ombud. A privacy complaint may also go to the Information Regulator (inforegulator.org.za).
16. The law that applies
South African law governs these terms. SayIDo is offered to couples planning weddings in South Africa. If you live elsewhere, you may still use it, but the plans, prices and messages are designed for South Africa.
Schedule: what we promise you about your guests' information
This Schedule sets out the operator terms that section 21 of POPIA requires where one party processes personal information for another.
- Your instructions. We process your guests’ information only to run your wedding on SayIDo, as you set it up, and as these terms describe. We do not sell it, use it for advertising or use it to train AI.
- Confidentiality. Only staff who need to, and only for that purpose, can reach it. They are bound to keep it confidential.
- Security. We keep reasonable technical and organisational safeguards: encrypted connections, access controls, staff sign-in through Cloudflare Zero Trust, logging and backups (section 19 of POPIA).
- Our service providers. We use the providers listed in the Guest Privacy Notice, each under a written agreement that protects the information. Several are outside South Africa; we transfer information to them only as section 72 of POPIA allows.
- If something goes wrong. If we have reasonable grounds to believe someone has gained access to your guests’ information without authority, we will tell you without undue delay, and notify the Information Regulator and the guests affected as section 22 of POPIA requires.
- Help with requests. We will help you answer a guest’s request to see, correct or delete their information.
- At the end. We delete your guests’ information as section 12 describes, and return it to you first if you ask, through the downloads in your dashboard.
Every legal publication issued by Ralph Jacobs, grouped by category. Each entry shows its current version, status and effective date. Superseded and withdrawn versions are retained permanently and stay reachable at their original addresses, so a version you accepted or downloaded in the past can still be read and verified.
